Search for the best LMS for a small business and most of the results are built for someone else: universities, global enterprises, training providers with their own learning and development teams. The feature lists run for pages, the prices are hidden behind a sales call, and setup is measured in implementation timelines rather than hours. Very little of it suits a business with thirty staff, one office manager, and a compliance deadline coming up.

This guide is for that business. It covers what a small or mid-sized company actually needs from a learning management system, how the pricing really works, and how to compare the options without getting lost in features you will never use. It ends with an honest look at where SkillsCircle fits, and where it doesn't.

If you're earlier in the process, two quick pointers. To sanity-check whether you need an LMS yet, see 5 signs your SME needs an LMS. And if you'd rather read the principles than the full comparison, what makes a good small-business LMS is the short checklist version of this page.

What a small business actually needs from an LMS

Enterprise buying guides rank platforms on features that a small team will never switch on. For a business without a dedicated training function, five things decide whether an LMS earns its place. We go through each in depth in the checklist post; here is the summary you can use while you compare.

1.    Content included, not extra. The highest hidden cost in LMS buying is the courses. Platforms sold as infrastructure leave content as your problem. You either build it or buy a separate library. A small-business LMS should arrive with a ready-to-use course library covering the mandatory topics.

2.    No implementation project. You should be able to enrol staff and assign courses within a working day. A kick-off call and a configuration document are signs that the platform was built for a larger organisation.

3.    Fair, transparent pricing. Published per-user pricing that includes content beats a low headline rate with fees layered on top. Watch for minimum user counts, per-course charges, and setup fees that only surface after a sales call.

4.    Compliance tracking that runs itself. Automated reminders and chasers, dated individual completion records, and certificates on demand: the administrative layer should look after itself, because that record is what a regulator, insurer, or tribunal will ask for.

5.    Usable without an L&D team. A competent non-specialist should be able to run it, and team leads should get a manager's view of their own people without touching the wider settings.

How LMS pricing works for a small business

Most LMS pricing takes one of three shapes:

Per active user, per month: you pay for people who log in. Flexible, but the bill grows with headcount.

Banded or graduated licensing: you buy a band of users, and the per-person rate falls as the band grows. Usually, the fairest model for a growing SME.

Flat annual platform fee: common at the enterprise end, and poor value below a couple of hundred users.

The headline number is rarely the whole cost. Before you compare prices, ask what content is included, whether there's a setup or onboarding fee, the minimum number of seats, and whether you're tied in for a year. A cheap platform with every course sold as an add-on often costs more than a slightly higher price with the library built in. Our post on the cost of compliance training works the per-employee maths through for teams of 15, 30, 75, and 150.

What SkillsCircle costs. Pricing is published openly and charged per user, with the per-user rate falling as your team grows, and no setup, content, or implementation fees. There are two ways to pay:

Annual: from £9 per user per month, including VAT, for the smallest tier, and less as you add users. A 30-person team, for example, moves into the next tier and works out at £2,322 a year (around £6.45 per user per month).

Monthly: £8 per user per month, excluding VAT, available to teams of fewer than 10 that would rather pay month to month.

Either way, with SkillsCircle, the course library is included in the per-user price rather than billed on top.

Comparing your options

The clearest way to compare is not feature-by-feature but by asking, for each platform: was this built for a business like mine, or built for a larger organisation and made available to me? The table below compares SkillsCircle against the two archetypes most small businesses actually weigh up: a platform-only or enterprise LMS, and a compliance-only training provider.

Where SkillsCircle fits

SkillsCircle is a ready-made LMS built for UK businesses with fewer than 200 employees, the buyer of this guide is written for. It's a strong fit if you want:

Content ready on day one. Over 800 courses across 11 programmes (Compliance Essentials, Health & Safety, Cyber Security, Mental Health, Safeguarding, and more) come pre-loaded, so there's nothing to build before your first employee starts.

A compliance cycle that looks after itself. Assigning someone to a team enrols them in that team's programme and sets their deadlines automatically; reminders, chasers, and recurrence then run without manual work. Progress is tracked in pre-configured, filterable reports by team, user, or course, downloadable on demand, so the account stays audit-ready.

Fair, published pricing. Annual plans from £9 per user per month (inc VAT), falling as your team grows (a 30-person team is £2,322 a year, about £6.45 per user per month), with the course library included and no setup or implementation fees. Teams under 10 can pay monthly at £8 per user per month (ex VAT).

A platform you're not locked into. A capable LMS usually means a high upfront cost and a multi-year contract. SkillsCircle is the alternative: published per-user pricing for the team you actually have, a monthly option for teams that would rather not commit for a year, and no setup or implementation fees. Use it as much or as little as you need, and let the cost follow your team size rather than a fixed contract.

It's less of a fit if your main need is authoring large volumes of bespoke, in-house courses inside the platform: a pre-loaded library is the point here, not a blank authoring canvas or a substantial financial outlay needed before accessing the training requirements that most small businesses in the UK require.

So much more than compliance

Compliance is usually why a small business buys an LMS, but it's rarely the biggest return. With SkillsCircel, the same platform that tracks mandatory training can also run onboarding, leadership development, and promote the soft skills that actually grow your leaders and your business. We make that case, with figures, in how an LMS drives SME growth.

 AI and SkillsCircle

Most AI assistants bolted onto learning platforms answer from the open internet, which means generic advice that has little to do with what you are actually being trained on.  SkillsCircle will include AI Coach, which works the other way around. It will draw on your organisation’s own training: every course, module, article and image on your site can be pulled into a single pool of knowledge, so that the guidance a learner gets is grounded in the material their employer has actually put in front of them.

AI Coach will be aware of what the learner is working on, so support is contextual to the task in hand rather than something you have to go and search for.

Access will be governed by the same permissions as the rest of the platform. Role, enrolment, and tenancy will all carry through, so AI Coach only ever draws on the courses and resources a learner is already entitled to see. Nothing hidden is surfaced, and nothing crosses between tenancies.

FAQs: Quick answers

What is the best LMS for a small business in the UK?

The best fit depends on whether you need content included, how your team is likely to grow, and how much admin time you can spare. Prioritise a ready-made course library, transparent per-user pricing, and low admin over long feature lists: those are what a small team actually feels day to day.

How much does an LMS cost for a small business?

Usually per user, either monthly or as a graduated annual band that falls as you grow. Check what content is included and whether there are setup fees before comparing headline prices. SkillsCircle's annual plans start from £9 per user per month (inc VAT) and fall with team size (a 30-person team is £2,322 a year, about £6.45 per user per month), with content included and no setup fees. Teams under 10 can also pay monthly at £8 per user per month (ex VAT).

Do I need technical skills to run an LMS?

No. A small-business LMS should handle enrolment, reminders and certificates automatically, so a manager or HR lead can run it without IT support.

What compliance training does a small business have to provide?

It varies by sector, but data protection, health and safety, and equality and diversity apply to most UK employers. The full picture is in what compliance training a UK small business must provide.

Am I tied to a long-term contract?

No. SkillsCircle is charged per user, with a monthly option for organisations and teams that would rather not commit for a full year.  And there are no costly set-up or implementation fees. You pay for the size of the team you have.
